How we collect personal information
We only collect and retain personal information in order to provide you with a service, such as Physiotherapy, Clinical Pilates or Remedial Massage.
If you choose to contact us via this website you will be asked for your name, telephone number and email address. Once we have responded to your query this information is not retained, unless you wish to subscribe to our newsletter or make a booking.
If you make a booking online or phone us to make a booking we are required to ask for your name, date of birth, address and postcode in order to maintain a professional record of your treatment.
We will ask for a telephone number in order to contact you in case of emergency or if we need to cancel or change your booking time.
We will also ask for your email address in order to provide you with appointment confirmations, reminders and receipts. You may choose not to opt into this service.
Any payment information provided when you make a purchase online, in the clinic or over the phone will only be stored with your consent for the purpose of completing relevant future payment transactions. This is securely held on a PCI compliant, third-party software system – MindBody – who are not allowed to use your personal data.
Use of your information
If you have received treatment at our clinic, we are legally required to retain your personal information as part of your treatment records for 8 years, or until your 25th birthday (if you are a minor).
At the end of a course of treatment, or if you have contacted us to tell us that you are receiving good service, we may email you to request that you leave us a review. This is of course entirely voluntary and we will only email once.
If you are an existing or past client, we may contact you by email with information about goods and services we provide that are similar to those that you have previously sought. You may unsubscribe to such communications at any time.
You may opt out of our using your personal data for any marketing purposes by contacting Oliver at firstname.lastname@example.org.
Disclosure of information
We will never sell your personal information to a third party.
We will never share your personal information with a third party/parties as part of our service provision to you, without your consent, except when safeguarding issues are raised or if we are required to do so by law.
Upon request, we are able to able to remove some details from your physiotherapy treatment notes including your email address and telephone number. We are also able to deactivate your Mindbody booking account. Please email Oliver at email@example.com at any time.
Where we store and transfer your information
All information is stored electronically on Mindbody and is password protected. When any member of staff leaves our employment, that individual’s access is deactivated.
As part of the services offered to you, for example through our website, the information you provide to us may be transferred to and stored in countries outside of the European Economic Area (EEA) as we use remote website server hosts to provide the website and some aspects of our service, which may be based outside of the EEA, or use servers based outside of the EEA – this is generally the nature of data stored in “the Cloud”. It may also be processed by staff operating outside the EEA who work for one of our suppliers, e.g. our website server host, or work for us when temporarily outside of the EEA.
Physiofit uses all reasonable precautions to keep the information disclosed to us secure.
The transmission of information via the Internet or email is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of data while you are transmitting it to our site; any such transmission is at your own risk. Once we have received your personal data, we will use strict procedures and security features to try to prevent unauthorised access.
Where we have given you (or where you have chosen) a password so that you can access certain parts of our site, you are responsible for keeping this password confidential. You should choose a password it is not easy for someone to guess.
We are not responsible for any breach of security or for any actions of any third parties that receive information from us such as your solicitor or insurance company.

You might find links to third party websites on our website. These websites should have their own privacy policies, which you should check. We do not accept any responsibility or liability for their policies whatsoever as we have no control over them

Analysing how people use our website (cookies)
This is statistical information such as the number of visitors to our website, where they come from and the pages they have visited. It cannot be used to identify you personally. It does not give us any access to your computer and you can choose to modify your browser setting to block cookies if you prefer. However, please remember that our website might not work as well as it should if you do this.
